O-6-105 Conduct a Candidate Reference Check

🎯 PURPOSE
References provide valuable information about a candidate’s qualifications and work experience.
After a candidate completes the application and interview process, if the hiring manager makes the determination they would like to extend an offer to the candidate, the hiring manager must contact 2-3 references provided by the candidate and conduct reference checks as laid out in the steps below.
References should be completed at the same time and by the same individual to ensure consistency and ensure all candidates are treated fairly and consistently.
🔄 PROCESS
- In the candidate's Dayforce profile, navigate to Screening > Questionnaires to access the reference contact information provided by the candidate in the Post-Application Questionnaire.
- If needed, reference: Instructions on how to access candidate information.
- Next, obtain a copy of the Confidential Reference Form. You will use a copy of this form for each reference call, and may fill it out either electronically or on paper.
- The form is located in this folder location: P&P Manuals > Forms Manual > Pre-Employment - Recruiting
- Contact each reference and complete each reference check via phone call, following these guidelines:
- Use the confidential reference questionnaire in the drive.
- Ask only for information that is relevant to the candidate’s skills and qualifications for position.
- Disregard information about which the provider does not have first-hand knowledge, or which is unrelated to the individual’s skills or performance.
- Exercise caution in evaluating or weighing comments which are not for attribution (off the record).
- Protect the confidentiality of the process and the privacy of the applicant whenever possible by sharing only the information needed to secure the reference. Treat names of other individuals in the search, salaries, and personal information as confidential.
- When each reference call and the associated Confidential Reference Form are completed to the best of your ability (which depends on what information the reference is able to share), save the completed form(s) to the candidate's record in Dayforce.
