🎯 PURPOSE

The Employee Payroll Audit Report is ran by Clinical Supervisors to review the time, mileage, productivity, and visit counts for a specified date range.

The report displays all worker visit time captured on the PointCare device such as in-home time, travel time, and documentation time. It displays warnings for unaccounted time, overlapping visits, days exceeding 12 hrs and excessive mileage.

Clinical Supervisors should run this report when indicated. Examples include when concerned with clinician’s time management, or if clinician reports feeling overwhelmed or unable to manage their time. The report helps show how they start/end their day, and when they are completing documentation outside of visits.

🔄 PROCESS

1. Go to Report Manager.

   

2. Search for and select Employee Payroll Audit Report.

   

3. Select the appropriate filters:

   

   1. Employee: Select specific worker
   2. Shift Date From: Select beginning of specified week
   3. Shift Date To: Select end of specified week
   4. Include Quantity NVA: YES
   5. Include Non-Payable NVA: YES
   6. Include Buddy Codes: NO
   7. Apply Commute Adjust: NO
   8. Only Overlapped Time: NO
   9. Only Unaccounted Time: NO
   10. Include Deleted Visits: NO
   11. Display Report Criteria: NO

4. Select View/Print:

   

5. Review the report.

   

   1. HV: In Home time
   2. HM: Travel Time
   3. HN: Documentation Time
   4. T: Travel
   5. DOC: Documentation Time

   6. Specific Time/Duration

      

   7. Service Code/Mileage

6. Review Totals/Summary:

   

   1. Sum of Services: Time Worked
   2. Total Time Off: Not using- should be 0
   3. Total Time Worked: End Time – Begin Time
   4. Total Day: Time worked plus time unaccounted
   5. Visit Time: Total in-home time
   6. Travel Time: Calculated travel time between first entry and last entry
   7. Non-Visit Time: Associated to NVA with duration (ie. Attempted Visit)
   8. Non-Visit Qty: Associated to NVA with quantity (ie. Unfilled SOC Availability, Time Off)
   9. Prod Points: Total points for the day
   10. Visits: Number of Visits
   11. Time Unaccounted: Amount of gaps in the working day not captured by visit time, travel time or documentation time
   12. Total Miles: Total miles for the day
   13. MPH: Mile/(Travel time + Time unaccounted)
