O-11-200 Create/Review Coordination Notes in Back Office
🎯Purpose:
Outlines the different ways a Coordination Note is created in the Back Office. Specific coordination notes have specialized functionality and create Review Coordination Note workflow for a specific Responsible Position in the Workflow Console. 🔄Process:
Coordination Notes can be accessed a variety of ways in the back office. Once the Coordination Notes screen is accessed, then notes can be viewed, added or edited (if permissions allow).

Access Coordination Notes in Client Referral:
- From the Client Referral, select “Coordination Notes” in the lower left corner of the screen:

Access Coordination Notes from Clinical Input:
- Right-Click client’s name, select “Medical Records Info”, select “Coordination Notes”:

- Select/Highlight client’s name from client list, select “Medical Records Info” in the lower left corner, select “Coordination Notes”:

Access Coordination Notes within Workflow Console- Review Coordination Notes:
- Right click coordination note, select “Medical Records Info”, select “Coordination Notes”:

Access Coordination Notes within Patient Related Task:
Many tasks may direct the user back to the referral (see Access Coordination Notes from Client referral ). However, some tasks also provide links to view or add coordination notes within the specific patient related task.
- Review Coordination Notes:
- Will create a print-view of all active coordination notes
- Cannot add or edit coordination notes with this format

- View Coordination Notes or Coordination Notes:
- Brings user to Coordination Notes screen.
- Can add, edit and view coordination notes using these links


- Add Coordination Note:
- Brings user straight to Add Coordination Notes.
- Can only add a new coordination note. Cannot view other coordination notes or edit existing from this link.

Create Coordination Note:
Once in the Coordination Note screen, user can add, view and/or edit (if permissions allow).
- Select Add to create a new coordination note:

- Use drop down to find appropriate Coordination Note from list, or start typing to filter options:


- Note Date will default to date/time the note is being created.
- If note is being entered as a late entry, user must indicate this in the text box:

- Many note types include pre-configured templates. If a template is included, any item with an * must be updated:

- When appropriate, user may delete what does not apply.
- Select SAVE & CLOSE when completed.

- If coordination note is set to route to a specific Responsible Position, it will trigger the Review Coordination Notes task on the first SAVE.
